AI Applicable Policies

The content below outlines policy areas and references relevant University of Cincinnati policies that apply to the use of AI and Generative AI within the university's ecosystem. This ensures AI enablement across the institution aligns with the university's broader data governance and information security standards.

Data Security

Adherence to Information Security policies is an important component of secure and responsible use of AI technologies at UC. All persons with access to UC digital infrastructure, data, or services are required to comply with these policies while utilizing AI at the university. Data Governance & Classification Policy

The University of Cincinnati uses a variety of data in support of its teaching, research and outreach missions. Data is a valued resource the university must govern, classify and protect. In addition, federal and state laws require that the university must limit access to certain categories of data to protect the privacy of employees, students, subjects, affiliates and patients.  The Data Governance and Classification Policy is applicable when using AI.

Acceptable Use of Information Technology Policy

This policy is intended to define and promote the responsible use of information technology at the university while simultaneously limiting and preventing abuse of IT resources. Access to and usage of IT resources, including AI, entails certain expectations and responsibilities for both individuals and managers of the IT environment. The Acceptable Use policy is applicable to the use of AI.

Electronic & Information Technology (EIT) Accessibility Policy

This policy and related procedures establish accessibility standards and expectations regarding the design, development, acquisition and use of electronic and information technology resources, including AI.

Security Review

Information security risk assessments (Information Security Reviews) are necessary to identify and document information security risk that may exist related to new or existing university information systems or information technology (IT) solutions, including AI, and provide recommendations to mitigate the identified risk.

Conduct and Ethics

Adherence to conduct related Board rules and policies is another important component of secure and responsible use of AI technologies at UC.   Students and employees who access UC digital infrastructure, data, or services are required to comply with these policies while utilizing AI at the university.

Student Code of Conduct (PDF)

The Student Code of Conduct informs students of their rights and responsibilities, identifies procedures to address student behavior that is inconsistent with university policies, and sets forth potential sanctions, interventions, and measures designed to educate and safeguard the university community.  The Student Code of Conduct is applicable to the use of AI.

Export Control Regulations Administration and Compliance (PDF)

All students, volunteers, and visitors engaged in research, development, production, or use of export-controlled items or technical data, international travel or shipments, international collaborations or proprietary work must comply with Export Control Regulations. The use of AI must comply with Export Control Regulations.

Conduct and Discipline Board Rule and Employee Conduct

The UC Conduct and Discipline Board Rule and Employee Conduct policy are applicable to employees not covered by a collective bargaining agreement or for whom the agreement contains no provision regarding this subject. Employees whose terms and conditions of employment are subject to a separate written employment agreement or a collective bargaining agreement should refer to the provisions of those agreements as well. All employees are expected to conduct themselves in a professional and workplace appropriate manner that reflects positively on the University.

An employee may receive disciplinary action, up to and including termination, for conduct and/or rules violations.

Conflict of Interest

The UC Conflict of Interest policy is applicable to employees not covered by a collective bargaining agreement or for whom the agreement contains no provision regarding this subject. Employees whose terms and conditions of employment are subject to a separate written employment agreement or a collective bargaining agreement should refer to the provisions of those agreements as well. AI may not be used in a manner that creates a conflict of interest.

Policy on Harassment (PDF)

All employees are required to comply with the University’s Policy on Harassment. Harassment is defined as conduct and/or expression that is not protected by the First Amendment to the United States Constitution or Article I of the Ohio Constitution because it is unwelcome; and so severe, pervasive, and objectively offensive that it effectively denies an individual equal access to the individual's education program or activity. AI may not be used to engage in any form of harassment.

Export Control Regulations Administration and Compliance (PDF)

All faculty, staff, volunteers, and visitors engaged in research, development, production, or use of export-controlled items or technical data, international travel or shipments, international collaborations or proprietary work must comply with Export Control Regulations. The use of AI must comply with Export Regulations.
